Data requests and deletion
Patients can ask what you hold about them, ask for a copy, or ask you to remove it. As their dental practice, you answer these requests, and SmileReply helps.
"Can I have a copy?"
- Go to Account → Patient records and find the patient.
- Press PDF to download their record of care: what you told them, the photos you assessed, and their messages.
- Send it to them the way you usually share records.
For just their photos, open them in Submissions and press Download all photos.
"Please delete my information"
Open the patient from Submissions, then use the Edit patient button at the top right of their grading screen.
- You never sent them a consult: choose Delete patient, then:
- Delete their details: removes their photos, contact details and assessment, but keeps your stats.
- Delete everything: removes the whole record.
- You sent them a consult: choose Archive patient. This removes their video, before and after and link straight away, and stops all contact. Their record of care is kept for the legal period, because dental records must be kept by law: 10 years, or 20 years for a child.
Let the patient know what was removed, and that their dental record is kept for the legal period.
"Please stop contacting me"
- Just the reminders: open the patient from Submissions, then use the Edit patient button at the top right of their grading screen and choose Turn off reminders. A Reminders off badge appears. Their consultation, booking confirmations and your replies still reach them.
- Everything: archive them, as above.
Patients can also unsubscribe from reminders using the link in any reminder email.
Keeping track
Every archive, deletion and automatic removal is listed in your Activity log under Deletions. Archives and deletions made by your team can be undone there for 7 days. Downloads of records and photos are listed under Access.
