Your first-day setup checklist

Work through these in order. Most take a few minutes, and each one builds on the one before.

The Setup guide in your dashboard tracks these for you. It ticks each step off as you finish it, and Go to takes you straight to the right place. Minimise it and it shrinks to a small button in the corner until you're ready.

1. Practice details

Go to Practice Settings and fill in every field of Practice Details: the step ticks when all of them are in.

  • Practice location is your full street address, not just the city. Patients can ask where you are, and this is the answer they get.
  • Phone number is required. Patients are given it to call with questions.
  • Contact email is where patient replies and alerts land.
  • Timezone sets your currency and the hours we're allowed to text patients, so set it before you add prices.
  • Mobile prefix is added to patient numbers typed without a country code.

Press Save changes in the bar at the bottom of the page.

2. Branding

Still in Practice Settings, under Branding:

  1. Upload your logo (PNG, JPG or SVG, up to 2 MB).
  2. Set your Primary colour. It's used across everything your patients see.
  3. Set your Button colour. Used on buttons in the patient portal.
  4. Choose a Headline style: Boutique (an elegant serif) or Modern (a clean sans-serif).

3. Booking and notifications

Still in Practice Settings:

  • Booking URL: the link patients use to book after their consultation. No online booking? Tick I don't have an online booking system and booking requests come to your dashboard instead.
  • Email notifications: choose which alerts you get. All three are on to start with.

4. Social proof

Go to Social Proof and fill in your patients treated, average rating, 5-star Google reviews and years of experience. They're shown along the bottom of every consultation, so fill in the ones you can. Any you leave blank are hidden.

5. Your team

Go to Team and add each clinician who'll grade assessments.

  • Everyone needs a profile photo before they can grade.
  • A welcome video is only needed if they'll send the Generated Video consult.

See Team members and welcome videos.

6. Payment options

Back in Practice Settings, under Financing & payment options, press Add payment option for each way patients can pay, such as a deposit and instalments, or finance. The Patient preview shows how each one reads to a patient. You'll pick from these when you set up treatment plans.

7. Services

Go to Services and add the treatments you offer. Treatment plans are optional, but they save time when you grade. See Setting up services.

8. Add the form to your website

Do this last, once your branding is final. You'll find the embed code in Practice Settings, under Embed the smile assessment form. See Adding the smile assessment form to your website.

Tip: Send yourself a test assessment from your own website before you go live. It's the quickest way to see exactly what your patients will see.
